Position Title: Sr. AP Payroll Specialist

Position Location: Guangzhou, China

Position Overview:

The role entails managing end-to-end payroll for the AP region, contributing to payroll initiatives, and partnering with Finance to ensure seamless execution of all payroll-related activities.

PRIMARY DUTIES:
Payroll Administration (30%) – Process and verify all current and new hire payroll information for all assigned countries (exempt and non-exempt employees).
• Complete and process monthly payroll including new hires, leavers, sick leave, paid and unpaid leaves, relevant salary amendments and bonuses, overtime, etc.
• Validate all inputs to be provided to the payroll partner by the agreed cut-off dates for processing.
• Review monthly payroll output, including gross to gross, net to net, understanding and resolving any discrepancies and justifying differences.
• Check and follow up all attendance classification activities that impact payroll (attendance, overtime, vacation, etc.)
• Ensure payroll reports and salaries are processed accurately and on a timely basis.
• Coordinate and process any exception pay or previous pay-period adjustments to ensure appropriate payments are made.
• Manage any post-payroll activities such as reporting to other departments to ensure they have correct data to complete necessary downstream tasks.
• Review and code invoices for approval / payment.
• Partner with payroll vendor to prepare and fill Individual Income Tax for LTIP.
• Support the communication of the Annual Individual Income Tax Settlement.
• Statutory benefit administration.
• Partner with vendor to manage employee’s Statutory benefiof enrolling, annual declaration, termination.

Payroll Accounting (30%) - Ensure controls, including SOX controls are properly performed within the payroll accounting process.
• Participate in / support internal and external audits.
• Answer accounting and financial questions on payroll.
• Monitor, manage and reconcile payroll taxes at the employer and employee level. Includes reconciliation to the general ledger as well as to external provider reports, preparation, and ensuring compliance.

Special Projects (20%)
• Perform audits of the Payroll & Time System to ensure compliance of statutory requirements and company policy.
• Perform PTO audits to ensure accurate reporting and compliance with company policy.
• Capture ideas for improving processes or implementing new tools.
• Develop self by seeking opportunities to expand role by improving technical and business skills, and cross training with other team members.

Employee Support (20%) – Provide first point of contact for employee and manager inquiries
• Handle daily inquiries from employees in a timely manner.
• Provide training to new managers and employees on the Time & Attendance Systems.
• Develop and maintain positive relationships with employees at all levels.

MINIMUM REQUIREMENTS:
• Bachelor’s degree in Finance, Accounting, Human Resources or related field.
• Minimum 2-3 years payroll processing (multi-country) with at least 2 years accounting or HR payroll experience.
• Proven accounting knowledge, including journal entries, accruals, account reconciliations and closing activities.
• Stay updated on changes in AP labor laws and tax regulations affecting payroll, benefits.
• Good knowledge and experience with complex ERP systems [SAP preferred] in matrixed organizations.
• Good working knowledge of software, systems and technology (Excel and other software).
• Good command of English language.
• Good analytical and IT skills - knowledge of Workday is a plus.
• Good analytical and problem-solving skills.
• Good organizational skills with the ability to multi-task.
• High degree of flexibility and ability to work well under deadlines and pressure.
• Enthusiast for continuous process improvement.
