Administrative and Ops Assistant

OPERATIONS & SITE ADMIN SUPPORT– 40%

  • Administer and manage quotations, purchase orders prices, contracts, and service agreements for providers such as catering, transportation, office supplies, cleaning services, furniture, fuel and meal card suppliers, life and medical insurance, and other services, ensuring Plant Manager approval and budget compliance.

  • Maintain updated vendor records and support annual supplier evaluations.

  • Control invoices in SAP, assign cost centers, and ensure timely approval and posting.

  • Track and reconcile monthly expenses for services, training, and benefits.

  • Support internal and external audits, document filing, and reporting for Integrated Management Systems (ISO, OEA, CTPAT).

  • Support commissioning and start-up activities, coordinating schedules, suppliers, documentation, and internal communication.

  • Prepare weekly operational KPIs (production, downtime, scrap, maintenance work orders, EHS indicators) based on data provided by functional areas.

HUMAN RESOURCES SUPPORT – 20%

  • Administer together with HR employee life-cycle documentation (hiring, onboarding, changes, terminations). including documentation, checklists, contracts, system registration, and follow-up to ensure timely and compliant integration and termination.

  • Maintain and safeguard documentation, evaluations, and supporting records required for employee promotions, temporary assignments, or permanent position changes, ensuring compliance with corporate HR policies and confidentiality standards.

  • Coordinate with Payroll for employee updates, benefits, and health insurance processing.

  • Manage medical exams, occupational health follow-up, and compliance with company medical programs.

  • Maintain and update the Headcount, Absence, Critical Role matrices and Turnover trends.

  • Maintain and update a weekly Overtime report for all departments, analyzing trends, deviations, and potential root causes. Provide summaries and insights to the Plant Manager to support decision-making and cost control.

  • Ensure confidentiality and accuracy of employee files (physical and digital).

  • Maintain and update the site’s organizational chart, ensuring accuracy of reporting lines, headcount, and departmental structures. Coordinate updates with the Plant Manager and HR Regional team to reflect personnel movements and organizational changes.

  • Maintain and update job descriptions for all site positions, ensuring alignment with corporate standards, current responsibilities, and organizational changes. Coordinate periodic reviews with area leaders and HR management.

TRAINING AND DEVELOPMENT – 20%

  • Plan, schedule, and track mandatory and functional training for all plant areas.

  • Propose and coordinate external training and development programs aligned with employee needs and plant capability plans, ensuring budget control and measurable outcomes.

  • Coordinate external training providers and course certifications (e.g., EHS, forklift, confined spaces).

  • Maintain and update training matrices and KPIs.

  • Support onboarding programs, buddy systems, and Great Place to Work initiatives, Peakon.

  • Support training and follow up to Learning Center, workday and internal tools to employees.

EMPLOYEE RELATIONS AND COMMUNICATION – 10%

  • Conduct periodic Gemba walks in the site to engage with employees, gather feedback, and identify improvement opportunities.

  • Support internal communication, recognition, and wellness initiatives.

  • Coordinate and support organizational communication within the site, ensuring consistent and timely dissemination of information from Plant Management and HR. Manage internal announcements, bulletin boards, and employee updates in alignment with corporate communication guidelines.

  • Assist in organizing events, visits, and meetings for Plant Management and Corporate visitors.

  • Identify and establish partnerships or agreements with external institutions (education, health, wellness, or benefits) to enhance employee engagement and retention.

COMPLIANCE AND CONTINUOUS IMPROVEMENT – 10%

  • Maintain and update the site’s organizational chart, ensuring accuracy of reporting lines, headcount, and departmental structures. Coordinate updates with the Plant Manager and HR Regional team to reflect personnel movements and organizational changes.

  • Promote compliance with NOM-035 to prevent psychosocial risks.

  • Support documentation and reporting required for audits and legal reviews.

  • Participate in continuous improvement and Lean initiatives within HR and Administration.

  • Support the annual performance evaluation process (MYR, STIP), ensuring timely completion, accuracy of documentation, and alignment with corporate HR guidelines.

  • Maintain confidentiality, accuracy, and alignment with corporate policies and Code of Conduct.
